Registrar

Responsibilities

  • Coordinate the collection, integration, and formatting of all data required for PEIMS submission according to PEIMS Data Standards.
  • Work cooperatively with campus, business office, and personnel office staff to collect, organize, and format data required to submit district PEIMS data in a timely manner.
  • Run edits, reports and verification checks on data to ensure accuracy of information.
  • Comply with standards for Texas and Federal attendance accounting laws and procedures in the Texas Student Attendance Accounting Handbook.
  • Comply with standards for Federal enrollment laws and procedures in the Texas Student Attendance Accounting Handbook and the PEIMS Data Standards.
  • Responsible for assigning Texas State Service ID's for all state approved courses as described in the PEIMS Data Standards.
  • Responsible for UID reporting: (Unique Identification Database) error percentage standards as described in the PEIMS Data Standards.
  • Responsible for PET reporting (UID enrollment tracking) as required by TEA PEIMS.
  • Develop and maintain a strong sense of customer service. Communicate with various stakeholders including campus personnel, district and state administrators, other Districts’ PEIMS personnel, and software vendors, etc.
  • Responsible for training staff on Texas and Federal laws and procedures in Discipline Management and Reporting as described in the PEIMS Data Standards.
  • Train and monitor campus personnel to respond to all TREx submissions accurately and within a 10 day response period.
  • Submit all TREx requests for incoming students and work with all campuses and districts to ensure timely response to student records requests.
  • Uptain student records from campuses (in person if necessary) within ten days of enrollment.
  • Compile, maintain, and file all physical and computerized reports, records, and other documents required.
  • Ensure student cumulative records are maintained (even after withdrawal or graduation for at least 7 years) and updated regularly.
  • Work with ELL Coordinator to maintain and update all LPAC folders for Emergent Bilingual students.
  • Work with AP of Special Education to to maintain and update all special education folders.
  • Follow all records procedures to ensure safety and confidentiality of student records as needed.
  • Ensure all withdrawals are processed accurately with supporting documentation including signed forms, new school records, and/or documentation of leaving Texas public schools.
  • Other duties as assigned.

Qualifications

  • Bachelor’s degree preferred but not required
  • Attention to detail and experience working in an office or administrative role preferred
  • A demonstrable commitment to pursuing equity
  • Ability to multi-task and work within an ambiguous, fast-moving, start-up environment, while driving toward clarity and solutions
  • Excellent written and oral communication skills
  • Bilingual (Spanish and English) required
